The foundation

One sheet runs all of it.

Your team keeps one simple sheet: places, hours, rules, prices, the programme. Philoxa gives you the template, helps you fill it, and connects every product to it.

  1. Places. Where things are: the restaurants, the pools, the spa, the shuttle stops, each with its number on your own resort map.
  2. Hours. When they are open: breakfast, the pools, the à la carte restaurants, the spa.
  3. Rules. What applies: the heights for the slides, towels, what the pool bar allows.
  4. Prices. What things cost, stated plainly: transfer and taxi prices, what is included and what is not.
  5. Programme. What is on: tonight, this week, the kids club, the shows.

One scan in the room, or one tap in your app. Every answer in the guest's language, from your own sheet: what is open now, which slides fit a child of 118 cm, where the Italian is on your map, what is on tonight. With the Care package, a request becomes a ticket your team sees and closes, and the guest watches the status. Every Monday, one page for your managers: what guests asked about, what they could not find, what they asked for.

  • Your words only. Nothing is guessed.
  • It asks before it answers when a detail matters.
  • An addition to reception, not a replacement. Every card says "or reception at ext. 0".
  • Safety first. Health, security or emergency: "call reception now", with the number.

The Care package

A request becomes a ticket your team sees and closes. The guest taps a category, the problem and how urgent it is (now, today, or it can wait), adds a note or photo if they like, and gets a ticket code with the time to expect. The status is visible any time.

The team gets the Care desk: every open request on one screen, sorted by what matters first, one tap to start, finish or explain, and "Ask the desk", a question box that answers from the live tickets. Reservations for à la carte, shows and spa work the same way.

The Monday report

Every Monday at 08:00, one page your managers actually read, sent as a short e-mail with the report attached: what guests asked about, with how often and an example question for each topic; the questions Guide could not answer, with proposed lines for the sheet; what stands out; and, where booked, the request section (Care package) and the review section (Echo).

The numbers are computed from the hotel's own usage; the commentary is written by Philoxa's AI from those numbers only. A detailed monthly report is a bookable option.

How pricing works

One setup price. One monthly fee.

Every Philoxa product is priced the same way. A one-time setup price covers the sheet work, the content workshop, the doors and the go-live. A monthly fee — a rate per room per day, times your rooms, times thirty days — covers running it: hosting, monitoring, updates, support in agreed hours and the Monday report. Options are added to the monthly fee.

  • The size and complexity of the hotel: rooms, restaurants, pools and parks.
  • The languages you serve.
  • The expected usage: how many guests, how many questions.
  • The options you book: the Care package, Guide in your app, the Explore pack, the detailed monthly report.
  • How much of your content already exists in writing.
  • The number of properties and the total rooms, for a group.

More than one hotel

The group ladder.

Two scales, two mechanisms. The number of hotels in the group lowers the setup price of each new hotel. The total number of rooms across the group lowers the per-room-per-day rate for every hotel.

Why a group pays less — and what stays per hotel: the second hotel starts from the first one's sheet structure, the same card design, the same app interface and, in the same destination, the same Explore content. What is shared is not charged twice. The monthly fee stays individual: each hotel's rate times its own rooms times thirty days.

One link, wherever your hotel puts it, behind a username and password the hotel hands out. Guests ask before they arrive, in their language, and get the hotel's own answers: where to go, what it costs, what is included, which slides their children can ride, what to reserve first.

Simple on purpose: no guest data, no connection to the reservation system. It reads the "before you arrive" part of the same sheet Guide uses, so answers before and during the stay never differ.

Every review and every pre-booking question, read in their language, with a reply drafted in their language that answers what they wrote, approved by your team. Nothing is ever published automatically. A one-star alert reaches the duty manager within minutes. The questions guests keep asking flow back into the sheet, so Guide answers them next week.

Echo reads what the hotel already receives: its own Google profile and the notifications from Booking, Tripadvisor, Expedia, Holidaycheck and others. No scraping.

Data protection in four lines

  • No guest personal data: no names, bookings, e-mails or phone numbers. Room number and ticket code only.
  • Hosted in the European Union. AI processing under a data-processing agreement.
  • Guests' questions are kept without any identity, only to count them for the Monday report, and deleted after 90 days.

Guests choose their language at the login. English and German are standard, others as language packs; a booked pack appears on the login screen by itself.
